enercity Netz GmbH is a subsidiary of enercity and a municipal energy supply and service company operating in Hanover. enercity supplies approximately one million people with electricity, heat, natural gas, and drinking water. With sales of €3.7 billion and approximately 3,000 employees across the group, it is one of the ten largest energy supply companies in Germany.

The object of the company is the operation of energy supply networks for the purpose of piped electricity and gas supply, as well as the operation and maintenance of measuring instruments and consumption data collection for electricity and gas. It is thus a distribution system operator and measuring point service provider.In addition, their tasks include all directly related services for water, data transmission and heating networks. Enercity operates electricity grids in Hanover, Langenhagen, Laatzen and the Seelze-Letter district as well as gas grids in Hanover, Langenhagen, Ronnenberg, Seelze and in districts in Laatzen and Hemmingen-Westerfeld.

Challenges

What challenges existed before the introduction of CAFM?

  • The main goal: data migration from many different systems to one system
  • In 2000, the in-house network documentation digitized the entire existing properties (CAD) and incorporated them into the previous CAFM system
  • CAD plans have been internally linked to various Access databases, for example to manage the room book or maintain key databases
  • Due to the many different Access databases and the departure of some employees, a solution had to be found that would allow all data to converge

The solution

What problems does Axxerion solve with enercity?

Previously, the ticket system and technical systems were managed in SAP. With the implementation of the new CAFM (Computer Aided Facility Management) system, these tasks are now accomplished in Axxerion. The workflows are now also recorded and mapped in the software solution.

The further development of Axxerion is continuously being pursued. Mr. Dießner (Head of Real Estate Ricklingen) explains:

„Mr. Merk (project manager at mavorest) gets an assignment from us and then he gets it done. For a better overview of the dates stored in the ticket system, the colleagues had requested a traffic light system. Mr Merk immediately understood what we were talking about. On the mavorest side, we experience a high degree of flexibility and adaptation to the different workflows and the needs we have. Solutions to problems are also found quickly.“

What experience has been gained during the introduction of Axxerion?

Recommendations for the implementation and application of Axxerion

At the end of October 2018, Axxerion’s one-month pilot phase began at enercity Netz GmbH. During the implementation of the computer-aided building management system, Axxerion, the strong involvement of the entire working layer was particularly important, recalls Mr. Dießner. Initially, a group of 2-3 key users was selected to work on the new system before it was deployed to other users.

It is important that the main process is at the beginning of the project. These then have to be developed continuously. Mr. Dießner also recommends that you familiarize yourself with your company’s security standards before implementing them and be prepared to transfer the data to other hands. He notes that the system is only as good as the data you enter at the end. Therefore, everything had to be structured beforehand in order to work well. The implementation of a CAFM system shows, as with a magnifying glass, where data is incomplete and the quality of current stocks still needs to be improved. He also points out that not everything needs to be rebuilt – rather, previous processes should be adopted in order to then connect new processes to them. Furthermore, the workflows should be defined in advance in order to optimize them afterwards if necessary.

 

Experiences with Axxerion

Mr Dießner’s conclusion on the previous cooperation with mavorest is positive:

enercity Netz GmbH always finds Axxerion and us to be very flexible and competent. Especially when importing data, people are enthusiastic about the adaptability. According to Mr. Dießner, any type of Excel list could be submitted, and this would be properly integrated into Axxerion. Furthermore, Axxerion could always further develop its processes as new problems arise.

„Sometimes a new problem arises and so far we have never reached the point where there is no solution. On the contrary – Mr Merk then always says ‚There are various solutions. I’ll think about it and then I’ll suggest one for you.‘.“

When the software solution was introduced, there was a very high level of acceptance in the facility management department. Also because you quickly saw the opportunities and the many benefits.
