FRÖBEL is composed of FRÖBEL eV, FRÖBEL Bildung und Erziehung gGmbH, FRÖBEL Akademie gGmbH, and FRÖBEL International GmbH.

The FRÖBEL Group operates crèches, kindergartens and after-school care centers in 10 German federal states. The pedagogy of the provider’s offers and services is based on the work of Friedrich Wilhelm August Fröbel. One of the main focuses of the group (1/3 of those cared for) is working with children under three years of age. The FRÖBEL Group’s mission statement focuses on children’s rights.

After the founding of Fröbel e. V. in Berlin in 1990, the operation of kindergartens and the establishment of branches expanded in eastern Germany.

In 2009, the non-profit Fröbel Australia Ltd. was founded as an overseas subsidiary following the acquisition of two kindergartens in Sydney.

The association is a recognized provider of youth welfare and a member of the Paritätischer Wohlfahrtsverband and since January 2014 has been FRÖBEL eV Member of the National Coalition Germany – Network for the Implementation of the UN Convention on the Rights of the Child

The daycare centers and youth welfare facilities are operated by FRÖBEL Bildung und Erziehung gGmbH, the non-profit subsidiary of FRÖBEL eV, which emerged in September 2015 from the merger of all regional companies in Berlin, Cottbus, Hamburg, Frankfurt (Oder), Cologne, Leipzig, Potsdam, Senftenberg, Essen and Munich. In addition, there is FRÖBEL International GmbH, which, together with the Klett Group, implements private-sector childcare services in Poznań (Poland), Sydney and Melbourne (Australia). Since 2018, FRÖBEL has been operating a vocational school for social pedagogy in Berlin through its subsidiary FRÖBEL Akademie GmbH.

The solution

What problems does Axxerion solve with the Fröbel Group?

For FRÖBEL, the solution was a web-based software solution that makes the existing large amounts of data available centrally and across departments. At the end of 2018, Axxerion was implemented, with the focus first on the ticketing system. In an initial roll-out, it was shown that a complex process, although offering many evaluation options, is too complex for users and did not accelerate the processing times of damage reports to the desired extent. These challenges for users then resulted in a revision and simplification of the user interface with regard to the respective user profiles.

At almost the same time, the digitization of the areas of over 160 existing facilities began. Even today, areas are still being digitized, naturally in light of the steady growth of new building objects at FRÖBEL. Object-related documents are also playing an increasingly important role.

Since the beginning of 2021, the contract module has also been the focus of further development. After a long processing time of the module, the object and certain service contracts can now be incorporated into the system in simple processes. The main advantage for FRÖBEL is the database-supported monitoring of contract deadlines.

Based on contracts, the company also intends to use the software in the future to monitor maintenance and testing deadlines. This then leads to further areas of application, such as the cost optimization of maintenance contracts or accelerated and semi-automated processes for commissioning service providers in this area.

The result

What are the results of the CAFM rollout?

  • The claims can be submitted quickly and purposefully via the ticket system. For example, resources are pooled in damage repair. In addition, the work of facility management has become more transparent, which also saves resources in communication.
  • The data is now also available on the move and on site at the facilities.
  • Although entering contracts is very time-consuming, it offers significant long-term time savings because the relevant, verified information is presented clearly and can be accessed at any time
  • The reports prove to be a time-saving way to evaluate information on building data company-wide.
  • The ticketing system allows the claims to be better interpreted and more communication and relevant data are bundled.

What experience has been gained during the introduction of Axxerion?

Organization of facility management

The Fröbel headquarters is located in Berlin, where most of the employees are also located. Among other things, there are department heads, three facility managers and, in addition, facility managers in all federal states in which they are represented. The company has divided the areas of responsibility into regions rather than strictly according to federal state borders. Depending on the number of facilities, there is at least one facility manager for each region.

Experiences with Axxerion

Over time, it became clear that, given the „abundance of possibilities offered by Axxerion“, it can also be challenging to first find out what the actual work steps are and what needs and requirements you have as a company and also what your individual employees have for a software solution.

„From my point of view, it is of course relaxed that we can do and adapt a lot ourselves and that everything happens automatically. This makes it much easier for users to work. The ticketing system has also been well received and is a good place for everyone to go. You quickly have a good overview of what still needs to be done, where there is still a need, and you can track how long it all takes.
