Challenges

What challenges existed before the introduction of CAFM?

Due to the demands of the daily operation of the extensive tasks of the state capital Klagenfurt am Wörthersee, the need for a Computer-Aided Facility Management (CAFM) arose.

When the department was created in 2017 from employees of six different merged departments, it quickly became clear that software support in the form of a CAFM – solution was needed to optimize processes.

The desire for a system was as simple as essential – as user-friendly as possible, as few intermediate steps as possible!

Mr. Slamanig recalls: „The big theme was ‚Secure data quality & build for benchmarking‘ and simplifying processes.“

The day-to-day operation of facility management takes place in four different departments: forestry and property management, construction and project management, building management, facility service. The value of buildings during the life cycle must be viewed differently. For example, other aspects are relevant for property management than for construction and project management. These different data and information should be brought together during the life cycle.

The solution

What problems does Axxerion solve at Klagenfurt?

In a 3-phase implementation, the introduction of Axxerion began.

In the first phase, a policy paper was prepared, which would form the basis for our subsequent offer. This phase also included data imports into the CAFM system, with data from properties, buildings, land registers, contacts and contracts.

First, the department level and individual working groups defined what is actually meant by this thematic block ‚digitalization‘ in order to then identify and identify the various needs „What do we need anyway?“. The results of the summary were presented to facility management staff in the next step, so that –to some extent– there was an opportunity to incorporate their wishes. The first phase began with this adapted list of requirements.

The next phase is currently in preparation.

„A process like this doesn’t happen overnight. It requires preparation and also that employees are picked up. The process as a whole is a marathon, not a sprint.“ says Mr. Slamanig.

He advises allowing sufficient time and organizing resources in the department well so that the day-to-day business of employees, in addition to learning how to use the new CAFM system, does not fall by the wayside.

 

Experiences with Axxerion

At the beginning of such a project, the objectives are precisely defined again and coordinated with the service providers, reports Mr. Slamanig.

The way to achieve the objectives was worked out jointly with the partners (manufacturers). It is therefore important to respond flexibly to changing requirements and process.

In the project work and in the actual work process, new possibilities and thematic blocks are constantly emerging, which can be improved with the flexible software solution and the experiences of Axxerion’s experts. „We have here, so to speak ‚a process within a process‘.“, says Robert Slamanig.
