Randstad Deutschland is Germany’s leading personnel service provider and is part of the Dutch Randstad NV With customized staffing solutions, Randstad is an important strategic partner for companies and develops customized staffing concepts for every need.

The first branch was opened in the Netherlands in 1960. Randstad has been active in Germany since 1968. Today the company is present in five continents and 39 countries. In addition to Randstad Deutschland GmbH & Co KG, the German Randstad Group also includes Tempo Team, Gulp, Monster, twago, Randstad Sourceright, Randstad Outsourcing GmbH as well as Randstad Automotive and Randstad Financial Services.

Challenges

What challenges existed before the introduction of CAFM?

Before Axxerion, Randstad already used a database to manage all leases in the company. However, the existing database was a purely Excel-based system and did not always run smoothly with the number of contracts. In order to manage all contract data more professionally and, above all, more securely, an appropriate CAFM system was inquired about.

Since Randstad Holding in the Netherlands had already decided on Axxerion, they took advantage of the experience report and relied on the positive experiences of their Dutch colleagues. Randstad Germany also decided to use the CAFM software.

The solution

What problems does Axxerion solve at randstad?

By implementing the contract management module, Randstad now has a flexible tool to manage several thousand contracts (especially leases) and to best optimize the associated processes: Thanks to the Reminder function, important data and deadlines can now be recorded and reminder dates (for example for terminations) and comments can be set up. Contracts can relate to various factors across modules through links. In addition, employees can quickly and easily view detailed information and contract documents for all different contract categories, regardless of location.

Software reporting is also an important part of the company’s operations for various departments. Among other things, a flex report is created from the Axxerion database every night. In addition, the system produces, for example, IFRS (International Financial Reporting Standards), which form the basis for the monthly or annual financial statements.Other important reports for controlling are also regularly generated with Axxerion. This was not possible before with the old database.

The newly introduced project management module also serves Randstad, among other things, as a reporting for costs incurred within a project. But above all, the project module is used to optimize the locations in Germany. Thus, all sites are regularly reviewed and, if necessary, optimized. For example, if it is determined that the area used by a branch is too large, “project management will initiate a move and the new location will be optimized through acquired trendings, such as desksharing”.

The Axxerion module „Projects“ always shows the responsible Randstad employees the current status of the procedure and at the same time evaluates the costs for the project.

The result

What are the results of the CAFM rollout?

The clearly entered data and documents create a database that is uniform for all users, eliminating the time-consuming exchange of data from Excel spreadsheets, PDFs and other information carriers.

With the flexibly customizable workflow engine, Axxerion is able to map every process as it is actually lived in the company.

In the future, the focus will be on “further expanding and optimizing existing modules”.

Experiences with Axxerion

„There are always challenges during implementation and the system was of course built up individually on Randstad and is constantly being improved. In the beginning, a small team of selected colleagues was responsible for the introduction and development of Axxerion and thus the central contact for CAFM in the company.

Through administrator training, two Randstad employees, including Ms. Brandenberger herself, were trained by mavorest in the Lease Management and Project Management modules. Here they were also prepared to “be able to answer any emerging questions colleagues might have regarding the project module and the lease database”.

This allows many questions to be answered quickly and directly within the team. This allows Randstad to quickly resolve issues.

All other optimizations for the modules used will be discussed together with the relevant Mavorest consulting and then implemented immediately.
